Costs:

Tasmania Vaccine Solutions believe in total transparency when it comes to our pricing and what our clients will be charged. In most cases, our clients are charged for the total number of completed vaccinations at the below rate:

15 or fewer vaccinations per site visit: $449

16-59 vaccinations per site visit: $449 flat rate for the first 15 vaccinations, then $24.95 per vaccination thereafter

60-100 vaccinations per site visit: $24.95 per vaccination (no flat rate fee applies)

101+ vaccinations per site visit: $23.50 per vaccination (no flat rate fee applies)

However, additional fees may be charged such as >30km from central Launceston or parking costs. If we know in advance of the location of where vaccinations are taking place, or as part of our proposal, that there may be additional fees, we’ll inform you and can provide a full written quote to make any additional charges as clear as possible.

Tasmania Vaccine Solutions will work closely with you to avoid as many additional charges as possible, with the intention of not having any additional charges. It is the client’s responsibility to promote the flu program to ensure that the number of vaccinations requested vs. completed is achieved.

Tasmanian Vaccine Solutions (TVS) will not charge for employees who do not attend their scheduled appointment. The business is billed only for completed onsite vaccinations. TVS does not charge based on estimated or booked numbers. All vaccinations are uploaded to Medicare and can be accessed via MyGov. TVS can provide individual records upon request. Additionally, TVS is experienced in handling records for individuals without Medicare and can assist in obtaining an Individual Health Identifier if required.

Booking Procedure: A confirmation form is to be completed online by a dedicated link issued to the client for Tasmania Vaccine Solutions to review. TVS will confirm with The Client, the date and time of the onsite vaccinations as well as provide supporting material required (consent forms, info packs, posters, etc.).

Services: Upon confirmation of mutually beneficial dates for vaccinations to be administered, TVS will provide a link to an online booking system (if required). Services will then be provided as specified in a delivery schedule agreed between TVS and the Company.

The Client reserves the right to request amendments to the delivery schedule at their discretion, subject to the Services Cancellation and Postponement Policy described below.

Services Cancellation and Postponement Policy: Cancellation or postponement of the services will require a minimum of 10 working days notice in writing otherwise a cancellation or postponement charge of $200 per clinic will apply. Any cancellation or postponement within 5 working days of the confirmed clinic will attract a charge of $300 per clinic will apply.

Invoicing:

TVS will issue an invoice for 50% of the estimated onsite vaccinations upon booking confirmation. For sites requiring fewer than 15 vaccinations, the full flat fee will be invoiced upfront.

A final invoice will be issued after service completion based on:

1. The final number of vaccinations completed

2. Any additional costs, such as parking or nurse travel time

Payment Terms:

Upon booking confirmation, the client must make an electronic transfer to TVS for 50% of the estimated number of vaccinations.

Each invoice is payable within 14 days of the issue date.

Payments made more than 45 days after the invoice date will incur a 12% P.A. late fee per month

Nurse Time Onsite:

TVS vaccinates 8 employees per 15 minutes (32 per hour). It is essential that employees are on time for the clinic and wearing appropriate clothing for vaccination. Flu vaccines are primarily given in the non-dominant upper arm (deltoid).

Additional charges for nurse time onsite apply at $150 per hour (pro-rata) if fewer than 20 vaccinations per hours are completed

Example Scenario:

If a client requests Tasmania Vaccine Solutions for three hours to administer 30 vaccines (less than average 32 vaccinations per hour), a charge of $150 x 3 will apply.

TVS will bring an additional 20% of vaccinations to the site to accomodate late sign-ups. Only the vaccinations administered will be invoiced. While late sign-ups are welcome, it is preferable to advise the approximate number of people to be vaccinated beforehand.

TVS will work closely with the client to ensure optimal use of the booking, however the client is responsible for promoting the flu vaccination time and date within the workplace to ensure that the number of requested vaccinations matches the number completed. Employees can book in date and time online and will receive appointment reminders and post vaccination instructions.

Cancellation/Postponement:

Cancellations or postponements require at least 10 working days notice in writing via sarah@tasmaniavaccinesolutions.com.au. Failure to provide sufficient notice will result in $200 cancellation/postponement fee per clinic.

Cancellations made within 5 working days will incur a $300 charge per clinic.

Standard Hours of Operation:

Services requested outside the standard business hours 08:00-17:30 will incur a surcharge of $100 per hour for each hour outside these times.

Weekend clinics are available at a separate fee, to be determined upon booking.

Parking:

If free onsite parking is not provided, TVS will invoice the cost of parking.

Nurse Travel Time:

If the clinic is outside a 30 km radius of Launceston (calculated from the town clock at 70 Cameron Street, Launceston using Google Maps), nurse travel time will be charged at $1.50 per kilometre. The charge will be calculated for a round trip.

If a regional clinic is cancelled within 10 working days, the client will be responsible for all vaccine and travel costs already incurred.
